Position Summary:
The Health Information Management (HIM) Administrator is responsible for maintaining the integrity of the hospital’s electronic Legal Medical Record (eLMR). This role applies Epic system expertise and knowledge of related legislation to ensure compliant clinical documentation, effective system use, and secure disclosure of health information through MyDovetale and other approved channels. Issues beyond HIM Administrator scope are escalated to the appropriate HIM leadership or Privacy Office as required.
Responsibilities:
• Monitors compliance with hospital policies and procedures related to the creation, accuracy, data integrity, and maintenance of the electronic Legal Medical Record (eLMR), including quality assurance review of scanned documentation and chart completion standards; escalates non compliance issues as appropriate
• Participates in monitoring and enforcing Health Information Management standards for data completeness, accuracy, timeliness, and validity
• Supports HIM Analysts with analysis of complex electronic charting issues using Epic tools and work queues, including chart deficiency management and documentation standards enforcement
• Conducts qualitative and quantitative reviews of system generated and non system records to ensure compliance with hospital and provincial documentation and records management requirements
• Reviews and prepares clinical documentation for electronic filing within the eLMR
• Coordinates issue resolution and escalating complex matters related to Dragon Medical One (DMO), MyDovetale administration, and other Epic based workflows, escalating issues to Analysts or Management as required
• Processes authorized requests for access and disclosure through MyDovetale using Epic Release of Information tools, in accordance with PHIPA; tracks disclosures and prepares required statutory reports under PHIPA.
• Maintains strict confidentiality and complies with all hospital policies at all times
• Processes routine requests for corrections under guidance of the Privacy Office; escalates complex matters to the Privacy Office or HIM Leadership as required.
• Directs consent directive requests to the Privacy Office in accordance with PHIPA and provincial eHealth standards; escalates complex matters to the Privacy Office or HIM Leadership as required.
• Supports HIM compliance initiatives, including participation in project teams and working groups as required
Qualifications:
• College diploma or Bachelor’s degree in a relevant field, such as Health Information Management or a related health discipline, is required.
• Minimum of two (2) year of hospital Health Information Management (HIM) operations experience, including knowledge of chart management, is required.
• CHIMA/HIM certification, or certification in progress, is preferred.
• Demonstrated experience working with Electronic Medical Record (EMR) and/or Clinical Information Systems; experience with Epic systems is preferred.
• Understanding of the Personal Health Information Protection Act (PHIPA).
• Proficient in the use of the Microsoft Office Suite, particularly MS Word, Excel, and Outlook.
• Conflict resolution skills, with effective verbal and written communication skills when engaging with the public and internal stakeholders, including physicians and regulated health professionals.
• Proven analytical and problem-solving skills, with the ability to independently manage end-user issues and escalate unusual or highly complex issues as required
• Must work with minimal supervision under urgent deadlines and be able to prioritize workload.
